Server Room Setup Checklist for Small and Medium Businesses in Dubai

Even a small business usually has a server room or network cabinet holding the firewall, switches, NAS, phone system and CCTV recorder. In Dubai's climate, a poorly planned server room quickly leads to overheating, failed hardware and downtime. Use this checklist to set up, or audit, a reliable server room for your business.

Server room and network rack setup for SMEs in Dubai

1. Location and Space

  • Choose a dedicated, lockable room or cabinet away from water pipes and direct sunlight.
  • Allow space for front and rear access to the rack.
  • Plan for growth: a rack that is 50% full today will fill quickly.

2. Racks and Cable Management

  • Use a proper 19-inch rack with shelves, blanking panels and cable managers.
  • Label every cable and patch panel port.
  • Keep power and data cables separated and tidy for airflow.

3. Power and UPS

  • Connect all critical equipment to an online UPS sized for the load and required runtime.
  • Use dual power supplies where available, fed from different circuits.
  • Test UPS batteries regularly and set up automatic shutdown for servers.

4. Cooling and Environment

  • Provide dedicated air conditioning, ideally with a backup unit for 24/7 operation.
  • Monitor temperature and humidity with alerts.
  • Arrange equipment so hot air exhausts away from intakes.

5. Network Core

  • A next-generation firewall for security, VPN and dual-internet failover.
  • Managed core and access switches with VLANs and fibre uplinks. See L2 vs L3 switches.
  • PoE switches for access points, phones and cameras.

6. Storage and Backup

  • Central file storage on a NAS or server with RAID.
  • Follow the 3-2-1 backup rule with an offsite or cloud copy.
  • Test restores regularly.

7. Physical and Cyber Security

  • Restrict access with locks or access control, and keep a visitor log.
  • Install a CCTV camera covering the server room door.
  • Change default passwords, enable MFA for admin access and keep firmware updated.

8. Documentation and Maintenance

  • Keep a network diagram, IP address list and equipment register with warranty dates.
  • Schedule preventive maintenance through an IT AMC.
